GROWTH INSIGHTS / PRACTICAL GUIDES

How to build a practical lead follow-up workflow

A useful workflow gives every enquiry an owner, context, and a next step. Automate routine routing and reminders, while giving people control over exceptions and conversations that need judgment.

Map the first handoff

Record where the lead came from, what they asked for, when it arrived, and who should respond. Missing source or offer context makes it harder for the salesperson to start a relevant conversation. Decide what should happen when the usual owner is unavailable.

Keep statuses meaningful

Use stages the team can apply consistently. New, contacted, qualified, appointment booked, and closed can be a starting point, but the exact stages should match your process. A status should describe an observable event rather than a vague impression.

Design for exceptions

Plan for duplicates, incomplete details, wrong numbers, responses outside working hours, and requests to stop contact. Prevent repeated automated messages when someone has already replied or converted. Maintain a clear route to human support.

Review the workflow as a team

Measure response time, missed actions, status completeness, and useful downstream outcomes. Ask the sales team where the process adds friction. Improve the workflow before adding more automated steps.
